Position Overview
As the Executive Office Administrator, you will play a critical role in ensuring the smooth day-to-day operations of the office while providing high-level administrative support to the executive team. This role requires exceptional organizational skills, the ability to handle confidential information, and the capability to manage multiple responsibilities efficiently. You will be the key point of contact for both operational and executive needs, contributing to the company’s success by ensuring that office processes run seamlessly and executive support is executed with professionalism.
Key Responsibilities
- Manage office operations, including supplies, equipment, and facility needs, while also serving as the front desk representative, ensuring the office runs efficiently and remains a productive environment.
- Coordinate executive team activities, including managing calendars, scheduling meetings, arranging travel, and preparing materials for meetings, and events.
- Handle sensitive information with discretion, ensuring confidentiality on executive matters and high-level decision-making.
- Administrate hiring processes, including job postings, interview scheduling, and supporting onboarding for new hires.
- Assist with HR functions, including managing employee benefits, tracking time off, maintaining personnel files, and supporting the employee performance review process.
- Collaborate with finance, supporting invoice processing, payments, and liaising with the company’s accounting team for financial reporting and budget tracking.
- Support employee engagement and culture-building activities, organizing team events, and fostering a positive work environment.
- Act as a key liaison between the executive team and internal/external stakeholders, ensuring timely follow-ups and communication flow.
- Oversee the planning and execution of company-wide meetings, events, and leadership activities.
- Ensure compliance with labor laws and internal company policies.
Qualifications
- Proven experience as an Office Manager, Executive Administrator, or in a similar role, preferably in a startup or fast-paced environment.
- Strong organizational skills with the ability to multitask, prioritize, and manage time effectively.
- Experience in supporting senior executives, managing calendars, and handling high-level administrative duties.
- Excellent written and verbal communication skills in both Hebrew and English, with the ability to manage both internal and external communications.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with office management.
- Experience in HR tasks, such as hiring, onboarding, and employee benefits administration.
- Basic finance knowledge and experience working with accounting or finance teams.
- Ability to maintain confidentiality, and show initiative.
